C) Storage period
Personal data are stored for as long as the purpose requires, as we are legally obliged to retain them, or as other legal grounds justify further processing. Personal data are erased as soon as the purpose of processing no longer applies or a ground for erasure under Art. 17(1) of the General Data Protection Regulation (GDPR; German: DSGVO) exists (e.g. withdrawal of consent given) and no exception to the obligation to erase under Art. 17(3) GDPR applies.
D) Your rights
You have the following rights, free of charge, vis-à-vis us with regard to the personal data concerning you:
- right of access (Art. 15 GDPR),
- right to rectification (Art. 16 GDPR),
- right to erasure (Art. 17 GDPR),
- right to restriction of processing (Art. 18 GDPR),
- right to data portability (Art. 20 GDPR),
- right to lodge a complaint with a data protection supervisory authority (Art. 77 GDPR).
E) Right to object to processing (Art. 21 GDPR)
Where we base processing on Art. 6(1)(f) GDPR, you have the right to object, on grounds relating to your particular situation, to the processing of personal data concerning you.
If you object, we will no longer process your personal data unless we can demonstrate compelling legitimate grounds for the processing which override your interests, rights and freedoms, or the processing serves the establishment, exercise or defence of legal claims. If you object to the processing of your personal data for direct marketing purposes, we will no longer process these data for such purposes.
F) Withdrawal of consent
Under Art. 7(3) sentence 1 GDPR, you have the right to withdraw consent to data processing given under Art. 6(1)(a) GDPR or Art. 9(2)(a) GDPR at any time with effect for the future, without any particular form (e.g. by email or orally). The lawfulness of processing carried out before the withdrawal remains unaffected.
G) Recipients of your data and transfers to third countries
Depending on the processing situation, your personal data are processed not only by the controller but also by third parties. Possible recipients include, in particular, processors (e.g. web hosting, software providers and other technical service providers), business partners or public authorities.
As a rule, we process your personal data only within the EU. Only in individual cases, e.g. when certain third parties are used for cookies, may your personal data be processed outside the EU and the EEA.
We ensure that your data are only transferred to countries that offer an adequate level of data protection, or where we have agreed appropriate safeguards for the protection of your data. Where there is no adequacy decision, we mainly use standard contractual clauses for this purpose.
H) Obligation to provide data
As a rule, you are not obliged to provide your personal data.
Where the legal basis for the processing is Art. 6(1)(b) GDPR, your personal data are required for the performance or conclusion of a contract. In these cases, the contract cannot be concluded or performed without your personal data.
If personal data are not provided in cases of processing under Art. 6(1)(a) or (f) GDPR (see Section II for the processing activities and legal bases), the respective services and offers cannot be used.
II. Collection of personal data when you visit our website
A) Server log files
When you use our website for information purposes only, i.e. when you visit it solely to retrieve information, you are generally not required to provide any personal data. In this case, we only collect and use the data that your web browser transmits to our server. The following data are collected and used when you visit our website:
- IP address
- date and time of access to our website
- time zone difference from Greenwich Mean Time (GMT)
- content of the request (specific page)
- access status / HTTP status code
- amount of data transferred in each case
- website from which the request originates
- Browser
- operating system used and its interface
- language and version of the browser software
The temporary storage of the IP address by the system is necessary to deliver the web pages to the user’s device. For this purpose, the user’s IP address must remain stored for the duration of the session.
Storage in log files takes place to ensure that the web pages function properly. These data are technically necessary for us and ensure the stability and security of the website as well as the integrity of digital systems. The legal basis is our legitimate interest under Art. 6(1)(f) GDPR.
B) Use of plug-ins
Cookie consent banner
We use our own consent banner to manage your consent to the use of cookies and analytics technologies. On your first visit to our website, a dialogue is displayed in which you can consent separately to statistics (our own analytics tool) and Google Maps, or refuse both. Your decision is stored locally in your browser and is valid for 12 months. You can change your decision at any time by clicking “Privacy settings” in the footer of our website – or directly here:
The legal basis for the processing is your consent under Art. 6(1)(a) GDPR. If you refuse, a purely anonymous count is carried out on the basis of our legitimate interest under Art. 6(1)(f) GDPR.
Google Maps
Our website uses Google Maps, a map service of Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland (“Google”), to display geographical information visually. When Google Maps is used, information about your use of this website (including your IP address) may be transmitted to and stored on a Google server in the USA.
The legal basis for the use of Google Maps is your consent under Art. 6(1)(a) GDPR. Google Maps is embedded to present our online offering attractively and to make the locations we specify on the website easy to find.
The map is only loaded once you consent to Google Maps in the privacy settings or via “Load map” on the contact page. You can withdraw your consent at any time in the privacy settings; the map will then no longer be loaded.
Recipients of the data are or may be:
- Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland (as processor under Art. 28 GDPR)
- Google LLC, 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA
On 10 July 2023, the European Commission adopted its adequacy decision for the USA. Google LLC is certified under the EU-U.S. Data Privacy Framework. As Google servers are distributed worldwide and a transfer to third countries (for example Singapore) cannot be entirely ruled out, we have also concluded the EU standard contractual clauses with the provider.
Further information on data protection in connection with the use of Google Maps can be found in the “Google Maps/Google Earth Additional Terms of Service”.
Google Fonts
On this website we have embedded certain fonts provided by Google for display purposes. When a page is accessed, your browser does not load these fonts from a Google server but from a server provided by our hosting service provider (so-called local hosting of Google Fonts). Only server locations within the European Economic Area are used for this. This means that using these locally hosted Google Fonts does not transmit any data, not even your IP address, to a Google server.
The legal basis for the use of the locally hosted Google Fonts and the servers within the EEA used for this purpose is therefore our legitimate interest under Art. 6(1)(f) GDPR in presenting our website content attractively using a selection of numerous royalty-free fonts.
C) Input forms and ways to contact us
You can contact us by email. In this case, we store your email address and the other data you voluntarily provide, depending on the content of your enquiry, for the periods stated under I. C) Storage period. Depending on the content of the enquiry, data sent by email are processed on the basis of your consent under Art. 6(1)(a) GDPR or under Art. 6(1)(b) GDPR where contractual obligations or pre-contractual measures are concerned.
Contact form
Our contact form allows you to get in touch with us. To process your enquiry, we need the following data: name, email address and any optional information entered in the free-text field. Depending on the content of the enquiry, data entered in the contact form are processed on the basis of your consent under Art. 6(1)(a) GDPR or under Art. 6(1)(b) GDPR where contractual obligations or pre-contractual measures are concerned. Your contact form data are also processed on the basis of Art. 6(1)(f) GDPR owing to our legitimate commercial, non-material and technical interest in providing and using an up-to-date means of communication.
Other forms / promotions
We may offer services or run special promotions on our website or via so-called pop-up windows. Depending on the offer, personal data may be requested and processed via embedded forms. We only request the data required in each case for handling and processing. Depending on the offer / promotion, data entered in the form are processed on the basis of your consent under Art. 6(1)(a) GDPR, for the initiation / performance of a contract under Art. 6(1)(b) GDPR and also on the basis of Art. 6(1)(f) GDPR owing to our legitimate commercial, non-material and technical interest in providing and using an up-to-date offer format.
You can communicate with us via the messenger service WhatsApp of WhatsApp Ireland Limited, 4 Grand Canal Square, Grand Canal Harbour, Dublin 2, Ireland. In doing so, personal data, in particular your telephone number, message content and attachments, may be processed and transferred to servers outside the EU (e.g. to the USA).
Your data are processed on the basis of your consent under Art. 6(1)(a) GDPR, for the initiation / performance of a contract under Art. 6(1)(b) GDPR or on the basis of our legitimate interest in efficient communication under Art. 6(1)(f) GDPR.
WhatsApp uses the standard contractual clauses (SCCs) approved by the European Commission as an appropriate safeguard for the transfer of personal data to third countries. Further information can be found in the WhatsApp privacy policy.
D) Use of Cap (capjs) – proof-of-work bot protection
To protect our forms (in particular the contact, order and application forms) against automated access by bots and spam, we use the open-source bot protection Cap (capjs). Cap is a privacy-friendly alternative to conventional CAPTCHA services such as Google reCAPTCHA or hCaptcha.
Self-hosting: Cap is operated exclusively on our own server infrastructure. There is no transfer of personal data to third parties and, in particular, no transfer to third countries (e.g. the USA). All components – the JavaScript widget, the WebAssembly module and the verification endpoint – are delivered from our own servers within the EU.
How it works (proof of work): When you open a protected form, your browser solves a cryptographic computing task via a WebAssembly module (so-called “proof of work”). When the form is submitted, the result is transmitted to our server as a token and verified there against our Cap server. Your user behaviour is not analysed: in particular, no mouse movements, keystrokes, scrolling behaviour, device fingerprints, screen resolutions or other browser-specific characteristics are evaluated.
Data processed: Only data that inevitably arise for technical reasons whenever a resource is retrieved from our servers are processed – in particular your IP address, to deliver the widget and to verify the token on the server. These data are used only transiently to carry out the verification and are not used for profiling.
Cookies / device storage: Cap sets no cookies and uses neither Local Storage nor Session Storage to recognise users.
Legal basis: Processing is based on our legitimate interest under Art. 6(1)(f) GDPR. Our legitimate interest lies in protecting our website and forms against abusive automated use, spam and denial-of-service-type attacks. Consent under Art. 6(1)(a) GDPR is not required, as the processing is purely technically necessary and does not evaluate personal data. Consent under Section 25(1) of the German Telecommunications Digital Services Data Protection Act (TDDDG) is not required either, as Cap does not store or read any information on the device beyond what is strictly necessary (Section 25(2) no. 2 TDDDG).
Further information on the open-source project used can be found at capjs.js.org.
E) Website analytics
We use our own analytics tool, operated on our server, to evaluate the use of our website and improve our services. No data are transmitted to third parties. All data collected remain exclusively on our web server.
With consent (cookie-based): If you consent to the use of analytics cookies, a cookie (“ra_sid”) is set which allows your visit to be recognised across several page views and on repeat visits. The data collected include, among other things:
- pages viewed and time spent on them,
- browser type and operating system used,
- the referring page (referrer),
- date and time of access,
- approximate geographical origin (country).
Without consent (anonymous count): If you refuse analytics cookies, no cookies are set and no device is recognised. We only record anonymised page views for purely statistical purposes. No personal data are processed in doing so.
IP addresses: Your IP address is never stored in full. It is used solely to determine your approximate location (country) and is then anonymised. It is not possible to identify you from it.
Legal basis: Processing with consent is based on your consent under Art. 6(1)(a) GDPR. The anonymous count without consent is based on our legitimate interest in statistical evaluation under Art. 6(1)(f) GDPR.
F) Sending emails via Brevo (formerly Sendinblue)
To send transactional emails, such as confirmations of contact enquiries or form submissions, we use the service Brevo.com (formerly Sendinblue), offered by Sendinblue GmbH, Köpenicker Straße 126, 10179 Berlin, Germany.
Brevo processes the email addresses and other data required for communication exclusively on our behalf and in accordance with our instructions under a data processing agreement pursuant to Art. 28 GDPR. The servers are located in the EU.
Tracking and reach measurement: By default, Brevo inserts a so-called tracking pixel into emails. This is a small, invisible graphic that is retrieved from Brevo’s server when the email is opened. This retrieval makes it possible to record statistical evaluations of user behaviour (e.g. whether an email was opened). The evaluation is anonymised and serves solely to optimise the technical delivery of our emails.
G) Job applications
We process personal data that we receive from you by post or email in the course of contacting us or applying, or that you send us via an online form. These may be general data about you (name, address, contact details, etc.), information on your professional qualifications and schooling, information on further professional training and, where applicable, other data you send us in connection with your application.
As part of applicant management, we process applicant data for the purpose of initiating a possible employment relationship on the basis of Art. 6(1)(b) GDPR in conjunction with Section 26(1) of the German Federal Data Protection Act (Bundesdatenschutzgesetz, BDSG). If no employment relationship is established, we erase all application data no later than six (6) months after the application procedure has been completed. With your consent, which at the same time constitutes the legal basis (Art. 6(1)(a) GDPR) for further data processing, we may keep your application documents in our applicant pool for a further year for future vacancies. Consent given can be withdrawn at any time with effect for the future.
H) Suppliers, service providers and business partners
We use contact and communication data and other relevant personal data of our suppliers, service providers and business partners insofar as they or their employees are natural persons. We process these data to carry out the business relationship, for communication and to maintain contact. The processing is based on Art. 6(1)(f) GDPR; our legitimate interest is the handling of business cooperation and maintaining contact.
I) Language setting
Our website is available in German and English. To offer you the appropriate language version, a script reads the language set in your browser or on your device (navigator.languages) when a page is loaded. This takes place exclusively locally in your browser: your device language is not transmitted to us or to third parties, you are not located via your IP address, and no cookie is set. If your device language is German or English, the corresponding language version opens; otherwise we ask whether you would like to use the website in German or English.
Only when you actively choose a language – via the language switcher or in the language prompt – is this choice stored in your browser’s local storage (Local Storage, key “rg-lang”, value “de” or “en”) without an expiry date, so that the website is shown to you in this language in future. The entry does not leave your device. You can change it at any time by choosing another language, or delete it by removing the website data in your browser settings.
Legal basis: Storing and reading your language choice on your device is strictly necessary to provide the service you have expressly requested – displaying the website in the chosen language (Section 25(2) no. 2 TDDDG); consent is therefore not required. Insofar as personal data are processed in this context, this is based on our legitimate interest in a user-friendly, multilingual website under Art. 6(1)(f) GDPR.
III. Use of cookies
We use cookies when you use our website. Cookies are small text files that our web server sends to your browser during your visit to our website and that your browser keeps on your computer for later retrieval. In addition to determining frequency of use and number of users and analysing how our website is used, cookies also serve to make our website more user-friendly overall. Cookies other than “necessary cookies” are only used with your express consent (cookie banner opt-in).
A complete list of all cookies used can be found in the tables in our cookie overview.
Third-party cookies
If you give your consent, we use so-called third-party cookies, some of which serve marketing, tracking and analytics purposes. In addition to the complete list of cookies in our cookie overview, you will find notes and explanations on individual third-party cookies both above in Section II and below:
If, when these cookies are used, data are transferred to third countries in which the GDPR does not apply, without an adequacy decision of the European Commission under Art. 45(3) GDPR or without appropriate safeguards under Art. 46 GDPR, we rely on the derogations in Art. 49 GDPR. Where the use of the respective services is necessary because there are currently no comparable services, e.g. for video solutions, and the presentation of our services serves to initiate a contract, Art. 49(1)(b) GDPR is the legal basis. In addition, various services, in particular tools embedded via cookies, are only integrated with the express consent of the data subject within the meaning of Art. 49(1)(a) GDPR. This is usually given by activating the relevant services in the cookie banner.
Where data are transferred to other third countries without an adequacy decision of the European Commission, please note that such a transfer may involve a risk for the data subject of being unable either to influence the processing or storage of their personal data or to enforce their data subject rights guaranteed by the GDPR with regard to this processing.
Cookie policy
We use cookies and similar technologies to ensure that our website functions properly (essential cookies) and – with your consent – for analysis, personalisation and the display of relevant content and advertising (functional cookies). These technologies may store or access information about your device or your usage behaviour.
Some cookies are set by third-party providers whose services are embedded on our pages. With your consent, data may also be processed in third countries outside the European Economic Area (EEA) in which there may not be an adequate level of data protection (e.g. by US providers such as Google).
Your consent is voluntary, is not a condition for using this website and can be changed or withdrawn at any time by clicking “Privacy settings” in the website footer – or here:
